Overview: We are seeking a detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing various operational and administrative tasks while ensuring smooth operations within our busy sales environment.

Key Responsibilities:
• Accounts Management:
– Add invoices to both Sales Ledger and Purchase Ledger.
– Process supplier invoice amendments and manage associated paperwork.
– Manage monthly reconciliation of expenses and subcontractor invoices.
• PAYE Processing:
– Handle weekly and monthly PAYE processing.
• Administrative Support:
– Assist with ad hoc administrative and HR tasks.
– Manage business correspondence, including phone calls, post, and emails.
• Material Ordering:
– Order materials as required.
• Compliance and Reporting:
– Assist with Pre-Qualification Questionnaires (PQQs) and supporting documentation.
– You will be responsible for producing job completion reports
– Collaborate with project managers and team members to ensure report accuracy and completeness.
– Manage vehicle records, liaise on inspections, services, and MOTs.
– Ensure SHEQ (Safety, Health, Environment, and Quality) documentation is up to date.

File Management:
– Create and maintain Dropbox files for information storage.
• Client Interaction:
– Prepare statements for clients and assist in producing reports.

Essential Skills and Qualifications:
• Previous experience in an administration role.
• Strong IT skills
• Excellent customer service skills and a professional demeanour.
• Ability to thrive in a busy sales environment.
• Strong organisational skills with attention to detail.
• Ability to work independently without direct supervision.
